Introducing Trustees: Trusted Others to Manage Your Legacy

Trustees are your trusted connection(s) who will manage your Legacy into the future.

In Heirloom, a user can create Trustee profiles to invite trusted people in their life to manage their Legacy Room in the future. These Trustees will be directed to the platform, and can take "custody" of that user's Heirloom account after their death. This ensures that a User's Legacy Room is secure during their lifetime and can be carried into the future for all generations. 

Locating your Trusteeship Settings

A User can find their Trusteeship settings through the drop down panel when clicking on their profile photo in the top left corner of the Dashboard, or located in their "Settings" in the bottom left corner.



Adding a Trustee

Once you're in your Trusteeship settings, click on the button titled "Add a Trustee".




You will need to verify yourself through a 6-digit One Time Pin sent to the email address of your account, or with your password.


      Verification method through unique pin.


      Verification method through account password.


You will need to confirm you own personal information, such as name and birthdate. Click "Next" to proceed. 




To create a new Trustee, you will add the name and email information for that person, so that a custom invitation code can be created and sent to them directly.
Click "Next" to proceed.




An email invitation will be sent to the Trustee along with a downloadable PDF, including an alphanumeric code and a QR code, so that the invited Trustee may keep that invitation’s contents safe.

If you wish to have a copy of this QR code in PDF format for your own storage or to send it to the invited Trustee directly, you may find it by clicking the three dots next to the Trustee's name in your Trustee settings.




Once a Trustee accepts the invitation, then they will be listed as an "Accepted" Trustee for your account.

If a potential Trustee rejects the invitation, you will receive a notification that it was rejected, as well as the possibility to review the status of your Trustee invitation(s).

If an invited Trustee would like to accept the Trusteeship after rejecting an invitation previously, you must remove the initial (and now rejected) invitation to create a new invitation to be emailed along with an updated PDF. 




You can revoke an accepted invitation, or edit a Trustee’s details, at any time by clicking on the three dots at the end of the Trustee’s name. This can be done regardless of the status of the Trustee Profile.

You can create more than one Trustee Profile.
We recommend no less than 2, and no more than 5 accounts.




A Trustee who will take managerial custody of your entrusted account, will only become an active Trustee with access to your Legacy Room after proof of your passing. 

Receiving a Trustee Invitation

The recipient will receive an invitation via email and receive a QR code in PDF format to become a Trustee. 




If the recipient already has an account, they will also receive a notification in their Heirloom dashboard to “Accept” or “Reject” becoming a Trustee for your account. 




Additionally, within their existing Heirloom account, the Invited Trustee can also manually add the Trustee Profile by clicking on “Import” in the Custody area of their Trusteeship settings and using the invitation code or QR code emailed to them in PDF format. 





IF that person does NOT already have an account with Heirloom, they will be prompted to create an account. There is no expiration on a Trusteeship Invitation, but the recipient must have an Heirloom account to accept it. 



Managing Trusteeship

Under the settings for "Trusteeship", a user can click on the section titled "Custody" to see the accounts entrusted to them to take custody of and manage. Only accepted invitations will be viewable in this section.




A  Trustee can reject their accepted Trusteeship for an entrusted account at any time, but this action cannot be undone. Click on the three dots of the entrusted account and select "Revoke Custody" to opt out. 




While a User can create multiple Trustee profiles, each Trustee profile must have a unique email address.
For example, if you wish to make a partnered couple your Trustees, but they share an email address between them--you may only create one Trustee profile for that email address.
